Privacy for the Aino Bother membership

Life's Mojo Ltd trading as Brae Riach Press is the data controller. This notice covers the sign-in, billing, membership and app journey for Aino Bother.

Who is responsible

What we store

  • Your account and the email address you sign in with.
  • Your membership entitlement: status, renewal dates, and the Stripe customer and subscription identifiers needed to run billing and the billing portal.
  • AI usage counts for the current membership year, so your allowance can be shown.
  • Your optional business profile: contact name, business name, main trade, area served, phone or WhatsApp number, business email, website, review links and preferred tone. Every field is optional.
  • Job assessments you have checked and saved.
  • Structured quotes built from those assessments, including the rendered quote text.
  • Invoices you create from a quote, and the follow-up markers saved against a quote or invoice.
  • Job photos you choose to upload, with the category and caption you give them, stored privately against the job.
  • Shared quote links you create, the fixed copy of the quote they show, and any acceptance recorded against them.
  • Cash In & Out records: direction, amount, date and any description, customer name, job reference or note you add.
  • Support messages you send us.

Ordinary communication drafts are not intentionally kept as a history. They are generated for your screen so you can check and send them yourself; only the usage count is recorded, not the message content.

Job Visit audio is temporary processing material. It is captured, used to produce a written transcription and assessment, and then discarded, apart from unavoidable short-lived handling by the systems doing the processing. Aino Bother is not designed to keep a long-term archive of your recordings.

Why we use it — lawful bases

  • Performance of a contract. To create and run your membership account, take payment through Stripe, give you access to the app, generate the drafts you ask for and keep the records you choose to save.
  • Legitimate interests. To keep the service secure and working, prevent misuse, count AI usage against your annual allowance, and answer your support messages.
  • Legal obligations. To keep membership, payment and transaction records for accounting, tax and dispute-handling purposes.
  • Consent. Only where consent is specifically required, for example any optional messages you actively opt into. You can withdraw consent at any time.

Who processes data for us

  • Stripe. Payment, subscription billing and the self-service billing portal.
  • Supabase. Authentication (magic-link sign-in) and the database holding your account and saved records.
  • OpenAI. Generating drafts and transcribing Job Visit audio when you use those features.
  • Hosting and infrastructure providers. Running the website and app servers, including operational logging.

Card details are entered with Stripe and are not stored by this website. We do not sell your data or share it for advertising.

International transfers

Some of these providers operate outside the UK, so your data may be processed abroad. Where that happens we rely on the provider's own published transfer arrangements. We do not claim that your data stays in the UK, or that it never leaves your device.

How drafts are generated

The text you enter for a draft, and Job Visit audio when you use that feature, is sent from our server to OpenAI to produce the draft, transcription or assessment, and the result is returned to your screen. Because this processing happens on our server rather than only in your browser, please enter only the details the task actually needs, and avoid unnecessary personal, sensitive or confidential information about you or your customers.

How long we keep it

  • Your business profile, saved job assessments, quotes, invoices, job photos you upload, the shared quote links you create and any acceptance recorded against them, the follow-up markers saved against a quote or invoice, and your Cash In & Out records stay until you delete them. You can delete each category yourself from your account page.
  • Customer and job history is not a separate hidden record of you: it is a view that groups the records you have already saved, so deleting those records removes them from that view too.
  • Membership, account and transaction records are kept for as long as needed to run the service and then to meet legal, accounting and dispute-handling obligations.
  • Support messages are kept only for as long as needed to deal with the issue and any follow-up.
  • We do not state retention periods on behalf of Stripe, Supabase, OpenAI or our hosting providers; their own published terms apply to their handling.

Your records and deletion

Stored profile, job, quote and cash records are private to your signed-in account. Other members cannot see them. You can delete your business profile, your job and quote data, and your Cash In & Out records yourself from your account page. If you need help, email letters@braeriachpress.com.

Your rights

Under UK data protection law you can ask for access to your personal data, correction of it, deletion, restriction of processing, portability, and you can object to processing based on legitimate interests. Email letters@braeriachpress.com and we will respond within the time limits the law allows.

If you are unhappy with how we have handled your data you can complain to the Information Commissioner's Office (ICO), the UK supervisory authority, at ico.org.uk. We would rather you contacted us first so we can put things right.

Website analytics and technical data

Where analytics or technical logging is used, it is used at a high level to understand how pages perform and to keep the service secure.

What we do not claim

We do not claim that your text never leaves your device, that your data stays in the UK, or that third-party processors keep data for particular periods beyond what those providers publish. Their own terms and controls apply to their handling of data.
